How do I add labels and receipts to my transactions?

Sign into the app and tap on a transaction to view more details and get started.
'Add Labels...' - Tap to enter your own custom labels. These can be anything that will help you identify or provide more information about the expense.
'Select Corporate Label...' - Add your organisation's pre-set labels to expenses. Start by selecting a Label Group (there may be multiple) to view the associated labels, and simply tap to add one. For example, your company may have created a Label Group for 'Expense Type' and 'Department' - from the first group, you might select 'Travel' for a plane ticket expense, and then 'Sales' as your department. Corporate Labels are custom to your organisation.
'Add receipt...' - There's no need to hold onto paper receipts or submit manual expense forms. Tap 'Add receipt' to take a quick photo and upload in seconds, as and when you spend.

Can't see Corporate Labels? Your organisation may need to set up their Corporate Labels, or enable them in the app.

How do I load or unload my Centtrip cards in batch?

Save time by loading (or unloading) multiple cards in batch. You can load different currencies to the same card, or unload cards, all in the same batch. There are two ways to do this:

Create a batch transfer within your account, or;
Complete and upload our batch template (note - this feature may need to be enabled for your account)

Sign in, visit the 'Load Card' tab and click 'UPLOAD BATCH'. Contact us if you cannot see this option.
Download either the XLS or CSV template provided on-screen and input details of the currencies and cards you want to load/unload:

Currency – use the dropdown to select the the three-letter code of the currency you would like to transfer.
Direction – select whether to transfer funds to or from the card (back into the account).
Cardholder - enter the cardholder ID (CHID). Don't know the CHIDs? Run this report.
Amount - enter the value you want to load/unload for that currency.
If you want to load multiple currencies for the same card, please enter each currency onto an individual row.

Revisit the same 'UPLOAD BATCH' page of your Centtrip account, click 'CHOOSE A FILE...' and upload your saved template.
You will receive an email confirmation once your file has been processed (this can take up to 30 minutes).
Review the confirmation summary - any loads marked as 'Failed' will need to be reviewed, corrected and re-uploaded. All others have been successfully processed, so please do not re-upload these.

Why have some of my loads failed?

The most common reason for a failed card load is an incorrect Cardholder ID (CHID) in your submitted template. This may be a simple typo, but can also often occur if a card has been replaced and the old CHID has been entered. Please run this report to check the CHID, update your template and resubmit the failed row(s).

How do I activate my Centtrip account and create a password?

Whether you are a cardholder or an administrator, you need to follow our account activation process and create a password the first time you log in.

Check your inbox for an email inviting you to Activate your account and click 'START NOW'.
If you cannot find your activation email, simply reset your password.
Enter a secure password for your account and click 'CREATE PASSWORD'.
You can now sign into the app, or log into your desktop account.

How do I approve payments?

If you have with authority to approve payments, you will receive a notification whenever a payment is submitted.

How do I make a batch payment with FX?

Download either the 'EXCEL' or 'CSV TEMPLATE' and enter your FX payments, ensuring you follow the validation requirements. Then, upload your completed file and click 'NEXT'.

Review your payment summary. Here you can enter a name for your batch, refresh the live rate(s) or remove payments from the batch.

Choose whether you would like to send your payment immediately or schedule for a later date, then click 'SUBMIT' or 'SUBMIT FOR APPROVAL' (depending on your permissions)

Follow the steps to verify using an email or SMS generated code. Then 'CONFIRM'.

That's it! If you require approval for payments, your Administrator(s) will be notified and it will be processed once approved. Otherwise, it will be processed instantly (as scheduled).

IMPORTANT - Please ensure you have sufficient funds on your account to cover all payments in the batch. If there are insufficient funds, any associated payments will fail.

How do I remove a user's account access?

Corporate Super Administrators can instantly remove access for any users on the account.

Follow these steps -

Sign into your account, click or hover over the settings cog and select 'User Management'. Then select your Corporate and Operating Account, and 'APPLY'.

What are virtual cards and how do I use them?

A virtual card is exactly like a standard Centtrip card, except that it doesn’t exist physically. Instead, it is accessed by cardholders digitally within the Centtrip app, and can be managed by Administrators with their desktop account.

Please note - virtual cards are currently only available for EEA and US Centtrip account holders.

Effortless set-up - virtual cards are automatically activated upon creation.
Contactless spend on EEA cards - add virtual EEA cards to your Apple or Google Pay wallet.
Increased security - eliminate the risk of physical cards becoming lost or stolen.

How do I order virtual cards?

Simply follow the standard card order process, and use the dropdown box to select 'Virtual' as the card type.

Please note that when you select this option, EVERY card in that particular order will be a virtual card. If you wish to also order physical cards, you will need to place a separate order.

Once ordered, the cards will appear in your CARDS dashboard immediately.

New cardholders will receive an email inviting them to create an account password and sign into the app, where they can view and begin using their new card.
Existing cardholders will be able to view the new virtual card in the app, alongside any existing cards they have.

Cards are activated upon creation, so no separate cardholder activation is required.

How are virtual cards used?

For Contactless Transactions:

(EEA cards only - Google/Apple Pay is currently unavailable for US cards)

To make a contactless payment, you simply need to add your virtual Centtrip card to your Apple or Google Pay Wallet.

For Online Payments:

You can make an online transaction with your card in the same way as you would with a physical card. You can view your card details within the Centtrip app.

Sign into the Centtrip app, OR (if you are a new user) follow the steps in your activation email to create a password. Then, tap ‘All Cards’ on the app homepage.
Locate your virtual card within the list, tap to select it, then press to open ‘Card Settings’.
Swipe left on the top of the screen to view the card.
Tap 'SHOW FULL CARD DETAILS'and verify your identity.

The card details will now be revealed, including the CVV.

Tap the ‘Copy Card Number’ button to copy the number and use for your online purchase.

Please note - virtual cards are currently only available for US and EEA Centtrip account holders.

Can I make payments in batch?

Yes! Save time by making single or multi-currency payments, to multiple beneficiaries, in batch. Choose whether to send your payment instantly, or schedule for later. Depending on your preferences and requirements, there are several methods:

Standard Batch Payment

Use this method when:

You plan to pay individuals or organisations which already exist in your Recipients List, and you are confident that the account details are correct and up-to-date.
You already hold the required payment currencies on your account, or intend to convert before payment.

Use this method when:

You plan to pay individuals or organisations which either do not exist in your Recipients List, OR, they exist but the account details may be out of date.
You do not need the beneficiary details to be saved following payment, and would like to upload updated account details for any subsequent payments.

How do I switch between my different Centtrip accounts?

If you manage more than one Centtrip account, you access them all using the same login, and switch between them effortlessly at any time.

Select "switch account" from the menu list.

How do I create a Corporate Super Administrator?

When opening a new Corporate Centtrip account, the first user created will be a Corporate Super Administrator (CSA).

To add additional Corporate Super Administrators to your account, please complete our CSA Set-up Form and return this to Centtrip Support. Please note - your completed form must be approved and signed by a company Director.
