Expense Management makes it easy to view and manage expense receipts, labels and notes. We recommend filtering on transactions with receipts attached and then follow the steps below.

Step 1

Click on a transaction line to expand more details and manage the expense.

 
 

Step 2

View or download a Cardholder Receipt added via the app, or upload one from file.

 
 

Step 3

If your organisation has set up and enabled Corporate Labels in the app, you will be able to review any which have been added by the cardholder. You can also attach them yourself via a quick dropdown.

 
 

Step 4

Review and edit the Cardholder Labels – these are custom tags which help cardholders to categorise and identify their expenses. You may want to provide guidance on how to use these.

 
 

Step 5

Enter custom Administrator Notes. Make a note of an incorrect receipt, an approval status or tax code - anything that will assist your accounting processes.

 
 

Step 6

Review Cardholder Notes which have been added via in the app. These can provide additional information about the reason for or nature of the expense.

 
 
 
  1. Visit Expenses from the left-hand menu and use the tabs at the top of the screen to switch between account and card transactions.
  2. Adjust filters, fields, and date ranges to refine your data as needed.

  1. Click on a transaction to open the side panel and view or manage:
    • Receipts and attachments – view or download the receipt, or upload one yourself
    • Corporate labels – check which labels have been added and amend as needed
    • Project label – ensure the relevant project label has been auto-assigned
    • Cardholder labels and notes (cardholder transactions only) – review any additional information about the expense
  2. Close the side panel and click XLS or PDF to export.
    • XLS is good for analysis, editing, or import. 
    • PDF provides professional statements. Choose between "With images" to include any invoices or receipts beneath each transaction for easy review and sign-off.

TIP - Use the 'Receipt' filter and select 'With receipt' to locate expenses that are ready to reconcile.
