How do I view and manage card expenses?

  1. To view all recent card transactions, go to Expenses in the left-hand menu and switch to the Card Transactions tab. You'll see a list of payments by all users with Centtrip cards.
  2. Select the relevant account you wish to view transations for.
  3. Use the filters to tailor your data, and adjust the visible fields to suit your display preferences.
  4. Click on a transaction to open Transaction details on the right-hand side. Here you can:
    • View transaction details (amount, merchant, time, card used e.t.c.)
    • Attach, view, or download a receipt
    • Add corporate labels - these are custom to your organisation and linked accounting codes
    • View cardholder labels - these are personal tags added by the cardholder
    • Read cardholder notes about the purpose or context of the transaction
  5. Export reports in your preferred format by selecting either XLSX or PDF.
    • PDF options: Choose between "With images" (which includes any attached invoices or receipts beneath each transaction for easy review and sign-off) or "Transactions only" (a cleaner version without attachments)
    • XLSX format: Ideal for editing, data analysis, or importing into your accounting software.
